2018 National Conference Exhibit Opportunities

Join CMS in Vancouver this fall! The College Music Society offers several opportunities for exhibits and displays at its National Conferences.

CMS makes available table-tops for exhibits of products, books, and materials. The exhibit area is located in a high-traffic area of the conference hotel, adjacent to conference registration. The conference schedule includes conflict-free exhibit time and refreshment breaks in the exhibit area. Exhibit Management will determine table placement for all vendors. Exhibit hours are:

Wednesday, October 10: 5:00 pm – 8:00 pm

Thursday, October 11: 8:00 am – 9:00 am (conflict-free exhibit hour)
Thursday, October 11: 9:00 am – 5:00 pm

Friday, October 12: 8:00 am – 5:00 pm

Saturday, October 13: No exhibits on this day

Exhibitors may reserve a maximum of four tables or comparable space to display instruments or large products (e.g., pianos). Space constraints prevent CMS from accepting booth displays in its exhibit area.

CANCELLATION POLICY

Exhibitors may cancel only in writing to CMS. Exhibits cancelled on or before 12:00 noon MDT Thursday, September 6, 2018 will be entitled to a 50% refund. Exhibits cancelled after 12:01 p.m. MDT on September 6, 2018 will not be entitled to a refund. All refunds will be issued within one month of the event’s conclusion.

CMS provides the opportunity for exhibitors participating at the national conference to sponsor a 45-minute Focus Group on Friday, October 12, between 8:00 am and 4:15 pm, and on Saturday, October 13, between 8:00 am and 2:30 pm. Focus Groups may be used by exhibitors for the following purposes:

  • Introduction or demonstration of musical products and services, including instruments, publications, textbooks, recordings and other materials or equipment of benefit to music faculty and students, music researchers, composers, performers, and others working in the music field.
  • Artists, clinicians, and small (6-8 person limit) demonstration groups. (Full performance groups or concerts are not possible due to space limitations.)
  • Video presentations related to musical products, publications, or services.
  • Other media directly relating to the research, teaching, creation, or presentation of music.

Duration is 45 minutes, with an additional 15 minutes allotted prior to the event for set-up and 15 minutes allotted afterwards for tear-down. Requests for multiple focus groups will be considered based on space availability. All functions to be held as a Focus Group require the prior approval of Exhibit Management. Exhibitors are responsible for purchasing any needed catering, audio-visual equipment, electrical connections, or Internet directly from the hotel.

Please plan to submit a brief (30 words or fewer) description of your focus group at the time of reservation.

In lieu of a printed program, conference materials are available to all attendees via the CMS Guidebook mobile app. This app is compatible with all Android devices, Apple, Blackberry, and Windows devices. We invite you to place your business or product in front of all attendees by placing a banner ad at the bottom of the screen. Ads will rotate throughout the course of the entire conference. Purchase multiple ads to showcase multiple products!

The Society offers interactive two types of banner ads:

Basic Ad 
Displays for 5 seconds per rotation 
Clicking on the ad directs the attendee to your home page

Enhanced Ad 
Displays for 20 seconds per rotation 
You may choose a custom URL for each ad 
Clicking on the ad directs the attendee to a page displaying your logo; a 1,000-word description (you provide) of the company, a product, or service; and a link to your custom URL
